Job Overview

The Admin Assistant position is essential for supporting the Mosul Space community through efficient administrative management, fostering communication, and ensuring smooth daily operations. Reporting to the administrative lead or office manager, the Admin Assistant will play a crucial role in managing community dynamics, supporting entrepreneurial initiatives, and facilitating the foundation’s overall goals.

Generic Responsibilities

  • Community Management: Act as the first point of contact for visitors and prospective members. Oversee the recruitment of new members and foster internal community development.
  • Strategic Development: Assist in creating objectives for community growth and outcomes, including dispute resolution systems.
  • Event Management: Organize and oversee community events such as workshops, training sessions, and speaker series.
  • Entrepreneurial Support: Advise and support start-up and entrepreneur members by connecting them to internal and external resources and networks.
  • Monitoring and Evaluation: Provide input for the Monitoring, Evaluation, and Learning (MEL) system.
  • Communication: Contribute to external and internal communications, including reporting daily updates to the administrative lead or office manager.
  • Administrative Duties:
    • Answer phones, schedule meetings, and organize documents.
    • Handle expense reporting, invoicing, and basic accounting.
    • Maintain office supplies and inventory.
    • Liaise with vendors and clients, ensuring excellent customer service.

  • Community Building: Proven experience in community management, including activity coordination, dispute resolution, and fostering connections.
  • Event Management: Ability to plan and execute diverse events tailored to the tech, innovation, and start-up sectors.
  • Operations Management: Capability to oversee the day-to-day operations of a dynamic organization.
  • Tech for Good: Demonstrated interest in leveraging technology for social innovation.
  • Teamwork: Skilled in collaborating with others to create a positive and productive work environment.
  • Self-management: Independent, proactive, and able to thrive in challenging environments.
  • Computer Skills: Proficient in Google Workspace tools (Sheets, Forms, Gmail, Docs, Slides, etc.).
  • Language Skills: Excellent written and interpersonal communication in both Arabic and English.
  • Location: Based in Mosul, Iraq.

Desirable Criteria

  • Networks: Established connections within Iraq’s aid, investment, start-up, or maker communities.
  • Innovation Experience: Prior work with start-ups, SMEs, social enterprises, or co-working spaces.
  • Engineering/Tech Knowledge: Familiarity with digital and traditional fabrication techniques.
