Job Overview
GLOBAL OBJECTIVE OF THE POSITION:
Under the direct line management of KRG Finance and Administration Manager, the Admin Officer is primarily responsible for overseeing, and implementing all of Nahj Al Iraq’s daily administrative tasks in KRG region.
RESPONSIBILITIES AND TASKS DESCRIPTION
The Admin Officer will be responsible for the following tasks:
1. Prepare, review, and file legal and government-related documents with a high degree of accuracy while cooperating with the company’s legal advisor.
2. Maintain organized records and databases of government relations activities and documentation.
3. Ensuring the company documents are always up-to-date by following up with legal advisor and being ready whenever required.
4. Organize a filing system for important and confidential company documents.
5. Distribute and store correspondence (e.g., letters, emails, and packages).
6. Ensuring the confidentiality and security of files and filing systems.
7. Maintain and follow up on lease agreements and contracts, and make sure they’re up-to-date.
8. Manage office supply stock, place orders, and ensuring office supplies are maintained, including checking inventory to ensure adequate levels of necessary supplies at all times.
9. Arrange travel and accommodations.
10. Daily and monthly follow-up on company fleet vehicles (service, registration, fuel, etc.).
11. Ensuring facility cleanliness through supervision and following up with cleaning service suppliers.
12. Provide administrative support to other departments.
13. Any other tasks assigned by line manager.
REQUIRED PROFILE
Education
· Bachelor’s degree in Administration or any other related field.
Languages
· Fluent Kurdish
· Fluent Arabic or English
Experience
· A minimum of 1 to 2 years’ experience in administration or any related area.
Skills
· Excellent organizational and time management skills.
· Strong attention to detail and ability to maintain a high level of accuracy.
· Ability to work independently and as part of a team and Prioritize tasks and meet deadlines consistently. An ability to multitask and work under pressure is required.
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
· Ability to work under pressure.
· Problem-solving skills.
· Organizational skills.
· Demonstrated ability to lead and manage a team.
· Knowledge of Iraqi government procedures and regulations is an advantage.
