Job Overview

Position: Admin Specialist

Reporting To: Administration Manager

Duty Station: Erbil branch office

Responsibilities of the Job:

  • Office Supplies Management: Ordering and maintaining office supplies and stationery, ensuring that necessary items are stocked.
  • Meeting Coordination: Arranging and coordinating meetings, including scheduling, preparing materials, and booking meeting rooms.
  • Data Entry and Record Keeping: Entering Admin data into databases, maintaining records, and ensuring accuracy and organization.
  • Filing and Organization: Maintaining a well-organized filing system and ensuring all Admin documents are filed appropriately.
  • Catering services: Collaborating with catering services to share daily request of the employees and canteen staff to plan menus that cater to the preferences and dietary needs of employees.
  • Customer Feedback: Collecting and addressing feedback from employees regarding canteen services and overall administration services and making improvements as needed.
  • Event Planning: Organizing special events or activities, such as employee appreciation events, company activities annually and food arrangement for esteemed guests.
  • Dealer training: arrange training rooms for TIQ trainees and provide omotenashi spirit while TIQ provides training to our dealer’s staff.
  • Inventory Management: Monitor and manage stock levels for food and beverages.
  • Establish relationships with suppliers and negotiate contracts to ensure a steady and cost-effective supply of materials. Implement inventory control measures to prevent wastage and minimize losses.
  • Resource Accessibility: Handling employees on boarding by arranging a seat (location) and provide stationery. Ensure that new hires have easy access to essential resources.

 

Requirements:

  • At least 2 year in a similar role
  • Diploma in business administration or equivalent
  • Good knowledge in Microsoft Office applications (Excel, Power Point, Outlook, etc.)
  • Fluency in Kurdish, English, and Arabic
  • Iraqi nationality
