JOB TITLE: COMPLIANCE ADVISOR

 

KEY RESPONSIBILITIES:

  • Manage and administer Compliance Program and compliance systems, including management of department KPI’s, function as single point of contact internally and externally for compliance systems and manage the process for engagement and payment of advisors. Support Chief Compliance Officer with preparation of internal and Board reporting, and administration of department budget, maintain accurate records to ensure the company has the necessary resources to support an effective risk-based compliance programme.
  • Manage and administer the relevant compliance systems and processes, including gifts and entertainment and conflict of interest tools, to ensure smooth running of the systems.
  • Interface with the technical development and IT support for the relevant compliance systems to ensure they are functioning correctly, and any technical/user issues are resolved promptly, accurately, and efficiently.
  • Act as project manager for implementation and development of compliance systems.
  • Generate regular and ad-hoc reports and dashboards from the relevant compliance systems and provide data analysis to allow key stakeholders including the compliance management team.
  • Support the Chief Compliance Officer with reporting obligations to internal stakeholders and Board.
  • Administer compliance department budget and provide reports to stakeholders as required.
  • Manage the Annual Declaration exercise to ensure that target audience receives the communication, follow up with employee’s submission, and provide regular updates on the status of for monitoring purposes.
  • Responsible and maintains the Group Compliance shared folder and the SharePoint site in accordance with the agreed folder structure to ensure ease of access and availability of relevant documents to the compliance team.
  • Create and maintain user guides / procedures for the relevant compliance systems to ensure clear understanding among employees on how to use the systems.
  • Manage Purchase Requisition s and payment of Invoices billed by third parties on the services rendered to the Group Compliance Team.
  • Manage the Compliance Mailboxes: [email protected] and [email protected] correspondences and queries received.
  • Manage department initiatives on behalf of the Chief Compliance Officer.

ESSENTIAL QUALIFICATIONS AND SKILLS:

  • Expected to be able to manage implementation and development projects.
  • Expected to facilitate resolution of access/technical issues with relevant compliance systems, liaising with appropriate IT/technical support.
  • Ability to extract and analyse data from relevant compliance systems to create dashboards and reports.
  • A sound understanding of compliance group policies, standards and procedures relevant to the role, in particular, the Code of Conduct and Standard for the Prevention of Bribery & Corruption.
  • Ability to administer procurement processes and department budget.
  • Good knowledge and understanding of compliance systems.
  • Experience of administering compliance systems and learning management systems.
  • Experience of operating compliance processes.
  • Experience of managing implementation projects.
  • Good written and verbal communication skills.
  • Ability to deal with internal and external stakeholders, such as third party compliance service providers and Petrofac colleagues at all levels of the organisation.
  • Good presentation and listening skills.
  • Ability to maintain confidentiality at all times.
  • Ability to prioritise workload and deal with conflicting priorities.
  • Fact based and attention to detail.
  • Excellent attention to detail.
  • Advanced MsOffice skills preferred.
  • Knowledge of PowerBI preferred.
