Coordinator of Operations, Office of Advancement

The role

Reporting to the Director of Advancement, the Coordinator of Operations will provide support in the areas of advancement services including gift processing and registry, donor relations and stewardship, prospect research, scholarships processing and reporting, alumni relations, and data entry and management.

The Coordinator will assist in designing and implementation of the operational processes and working with the Director of Advancement to ensure best practices.

Key responsibilities

  1. Process gifts accurately and timely and record all contributions from donors according to the procedure of donor records and accounting.
  2. Assist in processing all gifts-in-kind and recording these gifts according to the University procedure.
  3. Assist in producing internal and external reports from the records as requested.
  4. Assist in producing scholarships reports, and maintain records of students, donors, and scholarships types and criteria.
  5. Work with the Director of Advancement in implementing a CRM for the records and management of donor relations, alumni, friends, and prospects.
  6. Ensure that donors’ records are complete and accurate; ensure alumni, friend, and prospect data are current and complete; enter and manage data including ongoing data cleanup and update tasks.
  7. Assist in corresponding with alumni and friends of the University as required regarding events, newsletter dissemination, and other purposes.
  8. Assist in the research and compilation of information for alumni records research and prospect donors’ research in conjunction with the Director of Advancement, and provide complete and up-to-date information, as possible.
  9. Assist in donor acknowledgment by performing the tasks related to implementing the procedures of thanking donors, including sending letters, multimedia productions, and events.
  10. Assist in the logistical organization of various programming and events.
  11. Maintain cooperative working relationships with University units, including Finance, Communication, Students Affairs, Admission and Registration, and IT.
  12. Commit to donor confidentiality and confidentiality of information and projects undertaken by the Office of Advancement.
  13. Maintain professional competency in the field of philanthropy and advancement work by dedication and practice of self-learning and professional development.
  14. Contribute to the success of the Office of Advancement by performing all other related duties and responsibilities as assigned.

Qualifications and Experience

  • A Bachelor’s degree in a related field, such as IT, Accounting, Communications, or Marketing.
  • Proficiency in English language, fluency in Kurdish and/or Arabic language preferred
  • Demonstrated experience in records management, data entry, word processing, accounting, online research, and filing.
  • Strong computer skills and competency in MS Office.
  • Knowledge of CRM programs is preferred.
  • Evidence of creative problem solving and dedication to life-long learning.
