Job Overview

BACKGROUND:

The Data entry Assistant’s main role is to support and manage the reporting, data management, and archiving of SMEs program activities.

DUTIES AND RESPONSIBILITIES:
1 Collect daily updated data from SMEs officers i.e., beneficiary’s registration information and referral groups engagement plan, entrepreneurs training attendance sheets, Data set for selected entrepreneurs, and registration through donor required system.
2 Ensure the collected field data from each team member archived; compile the grants disbursement related reports and update progress to Reporting Officer on daily basis.
3 Ensure compliance to systems and processes for planning and reporting to HA CO & donor.
4 Assist Programme Officer in filling of project necessary documents, and archive in the folders.
5 Provide the Project Manager with necessary information in order to prepare monthly/quarterly narrative reports for HA-CO and donor.
6 Create a data base for all the beneficiaries by each component of the project. Keep updated all the key personnel on day-to-day plan activities at the sub-office level.
7 Develops and encourages new and innovative solutions to report the project activities.
8 Coordination with both filed office program team and ensure the timely delivery of data to Reporting officer/ and Project Manager.
9 Ensure compliance in the processes and ensure that the following reports are received and archive.
o beneficiary assessment lists, and final list
o project locations profile
o BBCM & FGD reports with RGs members.
o schemes allocation & completion reports
o Training report
o Attendance sheet
o Beneficiaries acknowledgment receiving sheets.
o Project case stories
o Submission of quality visual reports on program activities
10 Ensure the data protection protocol of HA.

PERSON SPECIFICATION (Education, Experience, Skills. Abilities)

Minimum Requirements:
1 Education: minimum bachelor’s degree or diploma in computer science/IT.
2 Minimum 1 year of total experience and having minimum 6 months of sector experience, specific experience in SBGs/ job placement or vocational training projects will be an asset.
3 Knowledge of the Iraqi Labor law and policies.
4 Excellent computer skills in Microsoft office and any other system will be a plus
5 Minimum verbal & oral communication skills in English.
6 Ability to work in a complex environment with multiple tasks, short deadlines and intense pressure to perform; willing to travel to the project locations in Ninewa & Kirkuk.
7 Well-developed organizational and planning skills.
8 Punctuality and respect for rules and procedures.
9 Must be able to maintain highest level of confidentiality regarding work-related information and data.
10 Excellent coordination and analytical skills.

DUTY STATION:
The position will be based in Mosul/ with minimum travel to Kirkuk.
