Job Description

Job Title:  Senior Document Controller Interfaces
with: Projects Team , Operations, PSCM, Contractors, Engineering Reporting to: Information Management Lead No. of  Positions: 1 Mobilised By:   Duration: 12+ Months   Demobilised by:   Location: Rumaila Oil Field Iraq Travel Requirement:  Based in Iraq                    Frequent trips

   Main Responsibilities:

  • Deputises for Information Manager in their absence
  • Mentoring local staff, assisting document control manager in training incumbents to become proficient document control clerks.
  • Assist in the maintenance and management of the electronic document management system (EDMS).
  • Compile and maintain construction records and related files to release P&IDs, drawings, engineering and supplier documents to construction and other operating departments.
  • Liaises with document originators, engineering, construction and contractor personnel to resolve discrepancies and understanding of departmental procedures.
  • Assist in the maintenance and management of manual control records for contractual correspondence, maintaining confidentiality
  • Undertake a pivotal role as part of an integrated project document management team, ensuring a seamless service is delivered to end users at all times
  • Develops, maintains and operates document management processes and supporting applications.
  • Provides primary support for document control management system.
  • Manages and actions changes to the Sharecat Administration tool.  Including New Users; workflow changes; new company codes.
  • Provides Contracting companies with starter packs; training; system access; instructions.
  • Maintains document control management system. Captures, stores, and retrieves document images.
  • Coordinates and performs document change control process including receipt, maintenance, approval, distribution, storage of controlled documents such as standard operating procedures, forms, protocols, reports, drawings, and other quality documents.
  • Distributes and retrieves documents to/from all concerned departments.
  • Maintains paper and electronic binders and logs of controlled documents, templates, and related records.
  • Ensures processed documents are complete, concise, accurate, and conform to established formats. Manages archival activities for controlled documents.
  • Assists in collaboration with the Operations Team to develop a plan for successful information transition to Operations and remains with the project until this transition has been successfully completed.

Skills and Qualifications

  • The post holder should have minimum ten years’ experience in document control activities.
  • Some experience relevant to document control within the oil industry is preferred.
  • A sound working knowledge of document control principles and practices.
  • Computer skills are required in the use of MS Office and ability of extracting data and reports from relevant computer systems and databases.
  • Can understand and act appropriately on instructions.
  • Can organise and progress assigned work to meet agreed schedules.
  • Can reorganise when guidance is required on specific aspects of the work.
  • Can contribute usefully to the change/development of working practices.
  • Ability to work longer hours as required
