PURPOSE AND SCOPE OF ROLE

A document controller is a controller responsible for the timely, accurate and efficient preparation and management of finance & sales documents. The role is to control the numbering, sorting, filing, storing and retrieval of both electronic and hard copy documents produced by sales teams, finance, or related departments.

MAIN RESPONSIBILITIES              

  • Maintain document control and correspondence folders for each individual car/model, etc.
  • Ensure all documentation provided is as per quality formatting requirements.
  • Make Jack list Form for new Car. Including: PDI, Manifest, certificate paper, sales contract, Quotation, order, invoice, and delivery paper…
  • Processing invoices for all sales transactions
  • Preparing quotations as per client’s requirement
  • Checking prices and contracts are up to date
  • Supporting the sales force with general operations to helming reach the team’s objections
  • Copy, scan, store and sort financial and non-financial files in physical & electronic form and present reports
  • Handle the processing of all transactions with accuracy and timeliness
  • Coordinate sales team by managing schedules, filing important documents, and communicating relevant information
  • Check for accuracy and edit files, like contracts, traffic police letters, etc.
  • Distribute sales-related copies to internal teams
  • Maintain confidentiality around sensitive information
  • Prepare ad-hoc reports as needed
  • Preparing online sales contract for sold Cars
  • Replacement and doing on behalf of Cashier when required
  • Preparing documents for Tax purpose

REQUIREMENTS

  • Bachelor’s degree of Accounting and Finance, Business Administration or similar field
  • Experience working with many types of files
  • Ability to organize and preserve paper documents
  • Thorough knowledge of various kinds of office software
  • Attention to detail
  • Effective communication coworkers across departments
  • Ability to multitask
  • Able to use initiative
  • Flexible and open to change
  • Able to work well with others
