Events Coordinator II (reports through Events Coordinator I)

Position Description: This role will identify and develop objectives, audiences, venues, and best strategy to implement targeted marketing and communications outreach through events. This candidate will be well-organized and possess a sound knowledge of vendor and venue management. Excellent communications skills and an attention to detail are vital in this role that supports institutional reputation building, outreach and brand protection and projection. This candidate will be responsible for assisting team members in coordinating, developing, and implementing the Department’s communications and outreach activities involving internal and external communities and stakeholders.

Main duties and key responsibilities include:

  • Performs as AUIB’s Events Coordinator II and creates and executes all functions of the position under the guidance of the Events Coordinator I
  • Understands requirements for each event and creates innovative solutions to challenges
  • Plans events with attention to financial, personnel, and time constraints
  • Books venues and schedules speakers, ushers, and/or emcees
  • Researches vendors (catering, decorators, musicians, etc.) and chooses the best combination of quality and cost
  • Negotiates with vendors to achieve the most favorable terms
  • Hires event personnel or recruits and manages volunteers when needed
  • Works collaboratively and creatively with the Director of Protocol and Special Events in the Office of the President
  • Manages all event operations (preparing venue, invitations, etc.)
  • Does final checks at the day of the event (e.g. tables, guest lists, technology, etc.) to assure AUIB standards
  • Oversees event operations and acts quickly to resolve problems
  • Evaluates event success and submits reports
  • Exhibits exceptional oral and written communications skills and affinity for collaborative work on projects and active engagement with people, including external shareholders, students, faculty, staff, and others
  • Thinks strategically and develops reporting and implementation plans with strong follow through and measurable results
  • Learns proactively with organizational agility and strong attention to detail
  • Demonstrates experience in communicating to and with a variety of audiences effectively
  • Is well-versed in event strategies and best practices
  • Serves as a focal point for both the AUIB internal community and external stakeholders concerning events efforts and outreach
  • Provides a consistent brand voice across all materials, events, and activities
  • Assists team in tracking event/activity results and compares with goals with a dedication to continuous improvement
  • Assists team in conceptualizing, creating, and executing event opportunities for the institution’s Colleges, programs, institutes, leadership, partnerships, faculty, and students
  • Maintains strict confidentiality of proprietary data, materials, and other sensitive information
  • Liaises with Marketing and Communications team regarding updates, prioritizes needs, and helps develop content based on research and needs
  • Collaborates and assists with all Marketing and Communications initiatives, informing team colleagues of events opportunities and trends as part of a holistic AUIB brand outreach and development
  • Interprets competitor strategies and consumer/audience behavior
  • Converts large amounts of event and attendance data into meaningful analysis and user-friendly formats for diverse audiences and needs
  • Works under pressure and adheres to strict deadlines
  • Identifies opportunities for the AUIB brand and creates opportunities that push the University’s mission and vision forward to identified stakeholders
  • Helps Department leads manage and track strategic initiatives, working with direct supervisors, peers, and other internal departments, programs, and Colleges to track progress and results and inform future exposure and outreach decisions
  • Ensures accuracy and attention to detail across projects that reflect positively on AUIB’s brand and strategic priorities
  • Plans, develops, and project manages assignments, as well as incoming and existing workflow, and supports the team in best practices to ensure projects are tasked and completed on time
  • Conceptualizes, researches, and executes projects, events, and initiatives requiring a high degree of sophistication and depth of knowledge in order to promote the AUIB brand
  • Keeps leadership and other staff members informed of progress, seeking review and approval at regular intervals, as well as collects feedback from other departments
  • Other duties as required

Basic Requirements:

  • Bachelor’s degree/certificate or equivalent experience in Marketing and/or Communications, Public Relations, Business, Journalism or related field
  • Four or more years’ experience in institutional event management
  • Four or more years’ experience in project management
  • Works collaboratively and independently
  • Can communicate fluently in Arabic and English
  • Four or more years’ work experience communicating with international audiences
  • Four or more years’ work experience in an international communications setting
  • Exhibits exceptional attention to detail and strong critical thinking and problem-solving skills

Preferred Requirements:

  • Experience creating/running/overseeing multi-faceted events, campaigns and/or creative development projects
  • Familiarity with an academic environment, including personal interaction with faculty, students, and staff
  • Experience in an international higher education setting
