Position: Executive Assistant
Reporting To: CEO
Duty Station: Erbil branch office
Responsibilities of the Job:
- Manage and maintain the line manager’s schedule, appointments, meetings, and travel arrangements.
- Prioritize appointments and ensure the line manager is well-prepared for each meeting or event.
- Manage incoming calls, emails, and communications, filtering and prioritizing them appropriately.
- Draft, edit, and proofread correspondence, memos, reports, presentations, and other documents.
- Maintain an organized filing system, both electronically and physically, for easy access to information and documents.
- Conduct research and compile data on various topics as directed by the line manager.
- Coordinate and schedule internal or external meetings.
- Prepare meeting agendas, take minutes, and distribute relevant documents in a timely manner.
- Arrange domestic and international travel for the line manager, including flights, accommodations, transportation, and visas.
- Build and maintain positive working relationships with internal and external stakeholders.
- Represent the line manager professionally and tactfully in interactions with stakeholders.
- Handle sensitive and confidential information with discretion and professionalism.
- Adhere to ethical standards and maintain confidentiality in all matters related to the line manager’s office.
- Support the line manager in various special projects and initiatives.
- Conduct research, gather data, and provide administrative assistance as required.
Requirements:
- Bachelor’s degree in Business Administration, or a relevant field.
- At least 4 years in a similar role.
- Fluency in English, Arabic, and Kurdish.
- Proficiency on Microsoft Office Applications (Outlook, Excel, Word, ..etc.)
- Iraqi nationality.
