Job Summary:

The Facility Administrator is responsible for ensuring that the organization’s facility is well-maintained, clean, and operational at all times. This includes managing maintenance, supervising cleaning operations, ensuring compliance with safety standards, and coordinating with relevant teams to support seamless facility operations. The ideal candidate must have relevant experience and be fluent in both English and Arabic.

Key Responsibilities:

  • Facility Maintenance and Operations:
  • Ensure proper functioning of facility systems, including HVAC, plumbing, electrical, and others.
  • Coordinate regular maintenance, repairs, and inspections to minimize disruptions.
  • Manage service contracts with vendors for facility operations and maintenance.
  • Cleaning and Hygiene:
  • Oversee cleaning staff and ensure cleanliness and hygiene standards are met.
  • Conduct regular inspections of all facility areas to maintain a clean environment.
  • Safety and Compliance:
  • Perform safety checks to ensure compliance with health, safety, and environmental regulations.
  • Address safety hazards promptly and document incidents when they occur.
  • Maintain and update safety and compliance records.
  • Operational Management:
  • Monitor and manage facility budgets efficiently, ensuring resources are utilized effectively.
  • Track inventory and restock supplies such as cleaning materials and tools.
  • Handle facility-related complaints and resolve issues promptly and professionally.
  • Team Leadership:
  • Supervise and train cleaning and maintenance teams, ensuring adherence to facility protocols.
  • Collaborate with other departments to support operational needs.
  • Communication and Reporting:
  • Act as the primary contact for all facility-related inquiries and issues.
  • Prepare detailed reports on facility maintenance, costs, and overall conditions.

Requirements:

  • Education: Bachelor’s degree in Facilities Management, Business Administration, or a related field (preferred).
  • Experience: Minimum 3 years of experience in facility management or a similar role.
  • Languages: Fluency in both English and Arabic (spoken and written).

Skills:

  • Strong organizational and multitasking abilities.
  • Knowledge of facility maintenance processes and systems.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Excellent communication, negotiation, and problem-solving skills.
  • Ability to manage budgets and prioritize tasks effectively.

Working Conditions:

  • Work Schedule: Saturday to Thursday, 42 hours per week.
  • Location: Based at the Karada, 42 Street facility in Baghdad, with occasional requirements to work after hours for emergencies or planned maintenance.
