Fixed Assets Team Leader

Job Overview

Job Summary:

This position is responsible for coordinating the daily activities of the Fixed Assets staff in regards to ensuring fixed asset for the company are processed in accordance with generally accepted accounting principles.

The position exists in small size companies reporting directly to the finance manager as preparation step for career growth to chief accountant in larger companies; for larger companies this position exists if span of control for the chief accountant is more than 10 employees. The team leader strategic impact decisions are taken in coordination with the finance manager as well as the relations with major stakeholders to be handled along with the Finance Manager.

Job Duties:

  • Coordinate the daily schedule of the fixed assets accountants ensuring meeting deadlines and efficiency.
  • Support Finance manager in analysing the Capex and adjust transactions as needed (e.g. transfer cost between locations and/or projects, etc.)
  • Retire or adjust assets based on the new, similar assets that are being added.
  • Partner with Admin, Facilities Management and Engineering to build and streamline the addition and renovation assets recording process.
  • Ensure transactions are recorded, reviewed, presented and supported in accordance with company policies, international standards and financial controls.
  • Responsible for accuracy and timeliness of transactions in the general ledger accounts which are related to the fixed assets
  • Identify and code capital invoices for payment processing.
  • Process and book journal entries for asset additions, retirements and transfers within the fixed asset sub ledger in a timely manner.
  • Make sure that the daily internal usages are transformed into fixed assets or operational expenditures and update the ERP system accordingly.
  • Make sure that the daily returns from sites are re-entered inventory with their remaining cost and update the system accordingly.
  • Calculate and journalize depreciation accruals.
  • Complete monthly account reconciliations.
  • Perform fixed asset closing procedures.
  • Communicate with Managers and accountants for proper recording of capital expenditures.
  • Identify and code capital invoices for payment processing.
  • Manage monthly closing of financial records and posting of month end information; ensure
  • Control all the entries posted by the accountants to ensure proper posting was made
  • Maintain general ledger reporting any discrepancies to the Finance Manager
  • Maintain chart of accounts reporting any discrepancies to the Finance Manager
  • Provide monthly reporting and related general ledger account reconciliations
  • Participate in both internal and external audits

Staff Management/Internal Processes:

  • Recommend to supervisor performance level, Hiring, Firing, and Transfer of staff for the team.
  • Implement and Manage employee shifting schedules, daily activities.
  • Record daily the attendance records and ensure company policy is implemented.
  • Prepare and submit the daily, weekly, monthly and annual reports as per section guidelines.
  • Coordinate daily schedule of employee assignments and ensure performance meets SLAs.
  • Resolve all employee personnel inquiries, conflicts and grievances.

Requirements

Education:

  • BA in Accounting or any related field.

Years of Experience

4+ Years in Accounting.
