Mehad Erbil Mission in Iraq is looking for a GRANTS COORDINATOR Under the supervision of the PARTENERSHIPS & GRANTS SENIOR COORDINATOR the candidate will be responsible for the following job description:
Job Summary:
The Grants Coordinator is responsible for the leadership of the grants’ department (under the grants and partnerships’ function), in Erbil Mission office of Mehad.
S/he will lead the relationship with the existed donors / partners (for the ongoing projects) to comply with grant requirements and manage the relationships matrixes regarding the assigned projects, with all potential stakeholder internally with the Projects Management Department (and when needed with the operations in Finance and logistic) and externally with the donor / partner counterpart team.
That includes:
Grants agreements preparations, projects’ kick off meetings, Grants Management Tool (GMT) monthly update, Grant Review Meeting (GRM) quarterly basis, Identifying and completing applications for funding under the same grant, supervision the implementation of the work plans, tracking the BvA (Budget versus Actual) and the Expenditure plan EP (monthly basis), narrative and finical reports, monthly internal grants reports to the head of programs, and finally projects’ close out meetings.
All these tasks will be implemented through direct supervision and follow up of the existed grants senior officers and officers existed in the grant’s department.
Duties and responsibility:
• Direct supervision and management of the work of the grants senior officers and officers.
• Lead the project agreements preparation process.
• Lead the projects kick off meetings.
• Supervise the design and implementation of the project work plan (by the projects management team).
• Coordinate with field team to ensure applying the work plan and keep the relevant staff (mainly the field projects managers) informed about upcoming deadlines and deliverables.
• Coordinate with project management team to push the follow up with the operation team to ensure compliance with MEHAD policies and donor requirements.
• Review and supervise the process of preparing all narrative reports by the project management team, who is responsible of getting inputs from all related departments, then the grants officers and senior officers review and check the compatibility with donors’ requirements.
• Follow up and supervise the grants senior officers and officers in participating in preparing financial reports, internally as BvA and EP, and Externally for financial reports requested by Donors, in coordination with Projects management team and Finance team.
• Follow up and supervise the grants senior officers and officers in reviewing all supporting documents of the project, which includes HR, procurements, and any anther legal documents related to the project (before submitting them to the donors).
• Follow up and supervise the grants senior officers and officers in completing the paragraphs related to grants unit in all forms/proposals (in coordination with the partnerships department team).
• Facilitate coordination events with donors, partners, and any potential stakeholders related to the ongoing projects.
• Manage the grant extension requests, work plans, reports, etc (in coordination with the partnerships department team).
• Control the project budget trends and make recommendations for cost control, through tracking the BvA and EP (Monthly basis).
• Represent the grants department in all internal meetings.
Required Qualifications:
• BA in Business, administration, finance, or any related field. MA is preferred.
• At least five years’ experience working in the grants / projects management under the Humanitarian field.
• MS – Office, Advanced in Excel.
• Using Webinar platforms
• Excellent organizational skills.
• Excellent interpersonal skills, as well as the ability to deal sensitively with people
from a variety of cultural and social backgrounds.
• Willing to adapt to MEHAD values without compromising personal beliefs
and principles.
• Excellent time management skills.
• Ability to interact with staff in a professional and helpful manner
• High presentation skills to facilitate workshops, meetings, …etc.
• High communication skills, especially in virtual events.
• Working under unstable humanitarian situation.
• Budgeting and reporting skills.
• High managerial skills.
Language Requirement:
• Excellent verbal and written communication skills in Arabic and English (Required)
• Average Kurdish (Preferable).
The Candidate shall be a National from KRI.
