We are seeking to employ a candidate for the following positions:
Human Resources Assistant
Place of work: Erbil

Main purpose of the job:
- Execute administrative, HR and legal related tasks to support the Personnel Administration Manager following MSF standards and procedures, in order to ensure legal compliance and to realize the HR capacity required achieving the mission objectives.
Accountabilities:
- Under supervision of the Personnel Administration Manager managing personal files in order to ensure accuracy, compliance and on time payments
- Updating the HR database and personal files to facilitate HR processes management
- Updating Social security & Tax office files in order to meet legal requirements including specific amendments when necessary in order to ensure local labour and fiscal law compliance
- Preparing employment contracts in conformity with legal requirements including specific amendments when necessary in order to ensure local labour and fiscal law compliance
- Preparing monthly pay slips for all staff, editing and updating the necessary data, in order to ensure the punctuality and accuracy of staff payroll
- Following up of all expiring rental contract dates and inform the Administration Manager in order to leave enough time to arrange a renewal or look for some other alternative
- Making all administrative information available to the staff (posting, meetings, etc.), supporting the Personnel Administration Manager in translating documents into local language and assisting in meetings upon request
- Supervising the domestic staff of cook and cleaners, monitoring their performances
- Additional HR/ Admin tasks delegated by the Personnel Administration Manager (PAM)
- Maintain a good archiving system for HR files (soft and hard)
MSFCH Context Specific Accountabilities:
Archiving and digitalization of the mission employee’s documents is one of the main objectives of the HR Assistant position, including:
- Photocopies and scans documents according to the archiving policy in place
- Organises and compiles information materials
- Labels files in accordance with MSF filing rules
- Follow up and archive the Observer assessment sheet for selecting of national personnel
- Completes forms and tables in accordance with specific instructions from the administrative manager
- Filing documents in reference files in line with MSF’s filing rules
Specific requirements for the role:
Education | – Desirable business, administration or computer science related diploma |
Experience | – Essential pervious working experience at least 2 years in relevant jobs + minimum 1 year as HR Assistant
– Desirable experience in MSF or other NGOs in similar context – Basic knowledge of using Homere software is an asset |
