Job Overview
An operation manager assistant is responsible for supporting the day-to-day functions of the company that working for. In addition, collaborate with upper management to design strategies for guiding employees and processes to maximize company efficiency. This position involves assisting in the planning, organizing, and monitoring of day-to-day operations to ensure efficient and effective workflow.
JOB RESPONSIBILITIES:
- Lead, motivate, and support a large team within a time-sensitive and demanding environment, including career development plans for direct reports and problem resolution.
- Collaborate with various departments to ensure smooth operations and address any issues or concerns.
- Assist in analyzing data, preparing reports, and making recommendations to optimize operational efficiency.
- Assist in managing the order processing system, ensuring accurate and timely order fulfillment.
- Assist in developing operational plans, goals, and strategies in alignment with organizational objectives.
- Monitor and track progress towards operational targets, identifying areas for improvement and proposing solutions.
- Prepare regular and needed reports. Follow up on the operation team’s performance in replying to customers on Manychat, email, Google Play, App Store, WhatsApp, and all other social media to make sure that all customer’s needs and inquiries are being done properly in time.
- Monitor order status and resolve any issues or delays that may arise.
- Collaborate with the customer service team to address customer inquiries or concerns related to order fulfillment as well as resolve order-related issues, address customer inquiries, and provide exceptional service.
- Coordinate with the warehouse or logistics team to facilitate inventory receiving, storage, and tracking processes and handle any issues related to lost or delayed packages.
- Assist in coordinating shipping and delivery operations, ensuring timely and cost-effective transportation of products.
- Support in quality control procedures, including inspecting products for defects or damages, and coordinating with suppliers for replacements or refunds.
- Identify areas for operational improvement and suggest process enhancements to streamline operations and enhance customer experience.
- Assist in monitoring customer feedback and reviews, taking appropriate actions to address concerns and improve customer satisfaction.
- Assist in planning and executing offline events and activities by getting the needed approvals, and preparing all campaign materials such as brochures, flexes, Roll, and all other needed materials.
QUALIFICATIONS:
- A bachelor’s degree in business administration, operations management, or a related field is preferred.
- Proven experience in an administrative or operational support role within the e-commerce or online shopping industry.
- Familiarity with online shopping platforms, order management systems, and inventory management software.
- Excellent organizational and time management skills to meet deadlines and manage priorities effectively.
- Flexibility and adaptability to work in a fast-paced and dynamic online shopping environment.
- Knowledge of customer service principles and practices to ensure customer satisfaction.
- Ability to communicate in more than one language Arabic and Kurdish fluently with good English skills.
