PURPOSE OF DIVISION:
Through capacity building and through technical and programme support, the International Programme Division keeps the organization focused on the socio-economic and humanitarian needs of vulnerable people. The division reinforces IR’s implementing structure to enable these people and their communities to develop themselves sustainably and ensures that the organization is prepared to respond promptly and effectively to humanitarian crises.
The division increases the organization’s ability to tackle poverty by developing and fostering partnerships and institutional relationships effectively and proactively, and by ensuring transparent and timely reporting to the organization’s donors.
JOB PURPOSE:
The Orphan and Child Welfare Program (OCWP) Assistant works closely with orphans, ensuring their well-being through regular visits and communication. The Assistant is responsible for conducting annual visits to each orphan and ensuring the timely submission of progress reports, they address and resolve issues concerning orphan families in accordance with IRW-Iraq standards, escalating matters to the OCWP Officer when necessary. Additionally, the Assistant ensures the program adheres to OSP manual operation policy standards by following up on learning review action plans. The OCWP Assistant reports technically to the OCWP Officer and administratively to a OCWP Officer.
KEY WORKING RELATIONSHIPS
Has regular contact with the OCWP staff and operation staff in the different areas, the works closely with the Project officer and other IRW-Iraq staff to ensure the successful implementation of the OCW programme and maintain an organized and efficient office environment.
KEY ACCOUNTABILITIES
Key Accountability 1: Orphan and Child Welfare Programme Implementation
1. Provide psychological support and recreational activities to orphans by visiting their homes and preparing annual progress reports. 2. Support orphans’ families (mothers) with cultural, awareness, and hygiene sessions during home visits to prepare annual progress reports. 3. Provide required information and photos of orphans in their district to the Orphan Child Welfare Officer (OCWP officer). 4. Conduct assessments for new orphans needing sponsorship by analyzing their context, performing home visits, and completing a specific format designed by IRW-Iraq. 5. Prepare progress reports for all sponsored orphans, including filling out the progress report format, taking at least three high-quality photos during home visits, and responding to OCWP department requirements for information, orphan status updates, specific orphan reports, and quarterly case studies. 6. Collect orphans’ letters and drawings, submitting them with the annual progress report to OCWP officer. 7. Assist IRW-Iraq orphans and financial staff in the sponsorship payment process when required, ensuring contact with guardians about payments. 8. Coordinate and distribute humanitarian aid and seasonal projects to orphan families, working with the seasonal projects staff on distribution requirements. 9. Respond to guardians’ inquiries about the orphans program, explaining the details of orphan sponsorship, program policies, and procedures, and cooperating with the families of orphans. 10. Follow up on orphans and promptly inform the OCWP officer about any emergency cases affecting orphan families. Key Accountability 2: Admin Implementation
1. Update and maintain a record of all meeting minutes and related documents within the department. 2. Develop and maintain an efficient office filing system, ensuring that all documents are properly organized and easily accessible. 3. Actively participate in fulfilling the administrative department’s requirements, providing support as needed. 4. Update and manage the assets inventory for the IRW Iraq Office, ensuring accurate records of all assets. |
PERSON SPECIFICATION
ESSENTIAL
Qualifications
University degree or equivalent in Social Science, Faculty of Arts and Science and Education, or a related field.
Experience
- Minimum 2 years experience with International/National NGOs and/or UN agencies, particularly in Child Protection, Child Welfare; Orphan Child Sponsorship.
- Languages required Arabic, Kurdish, and English desirable
Qualifications and Skills:
- Good interpersonal skills including the ability to listen to Orphan families.
- Strong analytical skills
- Good writing and reporting skills
- Ability to multi-task and meet deadlines
- An ability to work under pressure.
- Excellent spoken Arabic, Kurdish, and English
- Excellent knowledge and practice of Microsoft (MS Word, Excel, Power point)
