Job Overview
Job Description:
· Calendar Management: Effectively manage the Director and Deputy CEO’s calendars, scheduling and organizing meetings, appointments, and travel arrangements. coordinates various internal meetings within the Company and with external third parties to ensure optimal use of their time.
· Communication: Handle incoming and outgoing communications on behalf of the Director and Deputy CEO, including emails, phone calls, and written correspondence. Prioritize and respond to inquiries promptly, maintaining professionalism and confidentiality.
· Meeting Coordination: Arrange and prepare for meetings, including booking venues, organizing agendas, and assembling necessary documents. Attend meetings, take minutes, and follow up on action items as required.
· Travel Arrangements: Coordinate domestic and international travel arrangements, including flights, accommodations, transportation, and visas. Prepare travel itineraries and ensure all arrangements are well-organized and meet their preferences and requirements.
· Documentation and Reporting: Prepare and edit various documents, presentations, reports, and spreadsheets as needed. Ensure accuracy, formatting consistency, and adherence to company standards.
· Information Management: Maintain an organized filing system for documents, records, and confidential information. Safeguard sensitive data and ensure its accessibility when needed.
· Relationship Management: Build and maintain positive working relationships with internal and external parties, including clients, partners, and staff members. Handle inquiries and requests in a professional and timely manner.
· Special Projects: Support the Director and Deputy CEO in various special projects and initiatives. Conduct research, gather data, and provide assistance in project planning, implementation, and monitoring.
· Confidentiality: Handle sensitive and confidential information with the utmost discretion and integrity. Maintain confidentiality in all matters related to the Director and Deputy CEO’s work.
· Provides complete administrative support to the Director and D. CEO’s office.
· Receives SAS’s visitors and ensures providing proper hospitality that reflects a positive image for the company.
· Receives, sorts, and distributes incoming and outgoing correspondence to the Director and D. CEO, and maintains hard and soft copies of office documents, organizes files, and keeps records to be easy to access.
· Oversees all aspects of general office conditions and maintains an adequate inventory of office supplies.
· Implementing the direct managers’ instructions on time in a professional manner.
· Prepare presentations for the management.
· Get management approval and reply to the departments on time.
· Proofread materials for clerical accuracy and spelling, syntax, grammar, and clarity using judgment in making editorial changes.
Requirements:
- BSc. in Business Administration or any related discipline.
- Minimum 4 years of experience in a relevant position.
- Language skills: Arabic & English are a must; Kurdish is a plus.
- Must have good knowledge of Computer skills.
- flexible with working hours and traveling to other cities in Iraq.
- Accuracy and Attention to detail.
- Effective Communication and Problem-Solving Skills.
