Overall Objective of the Job
The Receptionist is responsible to ensure the front desk welcomes guests positively and executes all administrative tasks to the highest quality standards. Receptionist also is responsible to involves managing customers, customers, visitors, telephone messages and calls in a professional, efficient and friendly manner, also performs clerical duties to support the operation of the daily business. The Receptionist represent the first impression of the company to the customers and the public.
Tasks and Responsibilities
- Greet and welcome guests on the telephone or in person as soon as they arrive at the office. Answering and referring inquires.
- Directs visitors by maintaining employee and department directories giving instructions. Directs customers to the correct department, notifies the appropriate person that a customer is waiting.
- introduces the customer to a salesperson or Service Advisors.
- Answer, screen and forward incoming phone calls.
- Maintains safe and clean reception area by complying with procedures, rules, and regulations. Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
- Provide basic and accurate information in-person and via phone/email.
- Receive, sort and distribute daily mail/deliveries.
- Order front office supplies and keep inventory of stock according with HR department.
- Keep updated records of office expenses and costs.
- Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing.
- Works cooperatively with the sales team or service advisors.
- Updates customer records.
- Types memos, correspondence, reports, and other documents.
- Excellent communication skills.
