Position: Receptionist

Reporting To: Administration Manager

Duty Station: Erbil branch office

Responsibilities of the Job:

  • Greeting Visitors: Welcoming guests and clients as they enter the office. This includes providing a friendly and professional first impression.
  • Answering and Directing Calls: Handling incoming phone calls, screening and forwarding them to the appropriate individuals or departments. Taking messages when necessary.
  • Managing Packages: Receiving, sorting, and distributing packages. This may also involve coordinating courier services.
  • Scheduling Appointments: Assisting with scheduling meetings and appointments.
  • Maintaining the Reception Area: Keeping the reception area clean and organized, ensuring magazines and informational materials are up-to-date.
  • Handling Administrative Tasks: Performing various administrative tasks such as photocopying, faxing, filing, and data entry.
  • Security and Access Control: Monitoring and controlling access to the premises, issuing visitor badges, and following security protocols.
  • Assisting with Special Projects: Supporting other departments or teams with administrative tasks or special projects as needed.
  • Maintaining a Visitor Log: Keeping track of visitors, contractors, or vendors who enter and exit the premises.
  • Technology Assistance: Assisting visitors and staff with basic technology-related issues, such as connecting to Wi-Fi or using office equipment.
  • Calendar Management: Managing the schedule and appointments for executives or other team members.

 

Requirements:

  • At least 1 year in a similar role
  • Diploma in administration or equivalent
  • Good knowledge in Microsoft Office applications (Excel, Power Point, Outlook, etc.)
  • Fluency in Kurdish, English, and Arabic
  • Iraqi nationality
