Job Summary:
The Receptionist will serve as the first point of contact for visitors, clients, and employees. Your role is crucial in creating a positive and welcoming atmosphere while efficiently managing front desk operations. The ideal candidate will possess excellent communication skills, strong organizational abilities, and a customer-centric approach.
Duties and Responsibilities:
- Greet and welcome visitors, clients, and employees in a professional and friendly manner.
- Manage incoming calls, answer inquiries, and direct calls to the appropriate individuals or departments.
- Ensure the reception area is clean, organized, and represents the company’s professional image.
- Register and announce visitors, ensuring they are directed to the right person or department.
- Provide information about the company’s products, services, and facilities to clients and guests.
- Handle inquiries and resolve or escalate issues as needed.
- Receive, sort, and distribute incoming mail and packages.
- Prepare outgoing mail and packages for shipment.
- Manage courier and delivery services.
- Assist in various administrative tasks, including data entry, filing, and maintaining office supplies.
- Collaborate with other departments to facilitate smooth office operations.
- Monitor and control access to the premises.
- Ensure that security protocols are followed, and visitors are properly authorized.
Qualifications:
- Diploma or equivalent; additional education or certification in office administration is a plus.
- Proven experience as a receptionist or in a customer service role, minimum one year.
- Excellent verbal and written communication skills.
- Proficient in using office equipment, including phone systems and computer applications.
- Strong organizational and multitasking abilities.
- Friendly and professional demeanor.
- Ability to handle sensitive information with discretion.
- Fluent in Kurdish, Arabic and English.
