Job Overview

BACKGROUND:

The Reporting officer’s main role is to support and manage the planning, implementation, monitoring and evaluation of high-quality reports for programmes.

DUTIES AND RESPONSIBILITIES:

1 Prepare & share weekly, and monthly progress report on Program activities.
2 Create a database for all the beneficiaries and guide the staff to keep the required information as per donor and HA data management guidelines.
3 Collect beneficiary assessment data for each project location from the relevant Data Entry Assistants; compile them by each region and submit the same to the Program Manager for review and further submission to the donor Focal points.
4 Ensure compliance to systems and processes for planning and reporting to donor.
5 Archive weekly/monthly reports received from the field offices by Data Entry Assistants and keep them for submission/Audit to donors and Human Appeal management.
6 Ensure the effective monitoring, evaluation and documentation of the program.
7 Review/check all reports, assessment list, area profile, training reports, beneficiaries list, entitlement receiving sheets in order to ensure that the weekly/monthly reports submitted by the Data Entry Assistants are correct and matched with all the related papers / documents.
8 Provide the Program Manager with necessary information in order to prepare monthly/quarterly narrative reports for donors as well as for the HA country office.
9 Develop and encourage new and innovative solutions to report the project activities.
10 Ensure compliance to systems and processes for planning and reporting to the donor.
11 Assist and direct the Data Entry Assistants in filling necessary documents such as:
o beneficiary assessment lists
o project locations profile
o BBCM & FGD reports
o schemes allocation & completion reports
o Training report
o Beneficiaries list
o Beneficiaries acknowledgment receiving sheets.
o Project case stories
o Submission of quality visual reports on program activities
12 Coordinate the preparation and monitor the implementation of project work-plan, and financial reporting and forecast in consultation with the Program Manager
13 Coordination with procurement team, submission of procurement request, service delivery follow-up.

PERSON SPECIFICATION (Education, Experience, Skills. Abilities)

Minimum Requirements:
1 Education: minimum bachelor’s degree social sciences, English literature/ IT diploma.
2 Minimum 3 years of total experience and having minimum 1 years of sector experience.
3 Knowledge of the Iraqi Labor law and policies.
4 Very good computer skills in Microsoft office and any other system will be a plus
5 Minimum verbal & oral communication skills in English.
6 Ability to work in a complex environment with multiple tasks, short deadlines and intense pressure to perform;
7 Well-developed organizational and planning skills.
8 Punctuality and respect for rules and procedures.
9 Must be able to maintain highest level of confidentiality regarding work-related information and data.
10 Excellent coordination and analytical skills.

DUTY STATION:
The position will be based in Erbil office, 70% in the office and 30% in the field.
