Position Summary:
The Supply Chain Officer under the supervision of the Supply Chain Senior Coordinator will be responsible for:
- Implementation and follow-up of all supply works and tasks inErbil with the aim of completing them according to the best available practices and in accordance with the policies, procedures and models approved by the management of the supply department technically.
- Oversee the recording and tracking of assets at the enterprise level.
- Complete the supply and flow database of purchases, warehouses, assets and logistical movement, and develop the necessary tools to facilitate its flow and review, issue periodic and qualitative reports, and develop the central supply archive.
- Work to secure the necessary logistical requirements to facilitate the transportation of goods to the destination through international crossings and coordinate the movement of employees.
- Supervising the provision of service requirements for the Erbil office.
Job Function & Responsibilities:
- Supply chain database management: where information from all key operations of supply chain management departments is consolidated) is approached from the following aspects:
- Designing Information Collection Mechanism:
A well-defined mechanism is devised for gathering information from various concerned departments. Critical data for each department is identified, along with effective methods for its collection.
- Mapping the Information Flow:
The trajectory of information movement is meticulously mapped, beginning with its collection from sources and concluding with its storage and analysis. This exercise clarifies the path through which information navigates within the system.
- Verification of Accuracy and Collection Conditions:
Appropriate verification procedures are executed to ensure the accuracy and precision of collected data. This step serves as a fundamental assurance of the quality of stored data
- Integrated Central Archive Management:
Information is systematically organized and stored within a central archive, facilitating easy accessibility. Proper classification and labeling are maintained to ensure efficient retrieval of information.
- Interconnecting Information Exchange Between Departments:
Interconnections and information exchanges are established among supply chain management departments. This seamless integration facilitates the smooth and efficient sharing of information across different segments.
These steps ensure the structured and coordinated organization and management of supply chain information, enhancing operational efficiency, and enabling more informed decision-making.
- Implementation of supply operations: Monitoring and executing supply and operational processes carried out in the Kurdistan region in alignment with the Organization’s adopted policies and standard procedures.
- Logistic Mobilization: facilitating and coordinating the transportation and clearance of shipments/goods, involving the following tasks:
- Liaising with the sending party to determine the expected arrival time and the agreed-upon contractual approach for engaging any intermediaries, as well as the financial cost settlement mechanism. Coordinating with the receiving party for seamless reception and clearance on their end, along with completing the necessary documentation processes.
- Collaborating with shipping companies to secure the transportation of incoming shipments to the Organization through border crossings.
- Coordinating with other supply chain departments (procurement, warehouses) and coordinating with suppliers to facilitate the transportation of materials across borders, while identifying optimal conditions for receiving shipments (timing, location, border crossing).
- Collaborating with border management and handling the required paperwork on behalf of the Organization to facilitate the entry of shipments into the Syrian territory.
- Organizing and archiving all logistics files accompanying shipments (customs clearance documents, health certificates, transportation invoices, etc.).
- Asset Management:
- Registering and tracking assets in the Erbil office and ensuring the registration of assets in other offices under the Organization’s umbrella (asset movements including receipt, delivery, donations, and disposal) and issuing clearance certificates for employees.
- Generating asset reports for projects upon request.
- Representing the supply chain in asset inventory committees.
- Securing Operational Services and Supplies for the Erbil Office: Executing and monitoring tasks related to operational requirements for the Erbil office and its associated facilities (guesthouse), including but not limited to reception, hospitality, general cleanliness, and facilitating workflow for employees. This is achieved through the following:
- Ensuring the transportation of personnel for their assigned tasks (Organizational vehicle movement, flight, and hotel reservations) in line with the established Organization policies (resources, finances, procurement).
- Continuously ensuring the provision of all necessary supplies and services for the Erbil office (both physical items and services), n line with the established policies of the organization (resources, finances, and purchases).
- Coordinating training workshops, securing logistical needs, and reserving training venues and hotels.
Staff reporting to this post: service worker staff,S.C Assistant if Any.
Required Qualifications& Skills:
Education:
- Bachelor’s degree.
Experience:
- Has at least 3 years of experience in Supply Chain Management.
- At least One year in a supervisory position.
Skills:
- Upper – intermediate English.
- Advance Arabic.
- Advance experience in the usage of computers and office software packages (MS Word, Excel, etc.).
Preferred Qualifications& Skills:
- Advance Reporting skills.
- Advanced Communication Skills.
