JOB SUMMARY

 

The Technical Writer and Document Control (DC) Supervisor will be responsible for systematically managing company documents and producing a variety of written materials, including policies, procedures, reports, and more. This role will assist the company in complying with record retention policies, safeguard information and retrieve data effectively while also ensuring documentation accuracy, quality, and integrity. The Technical Writer and Document Control (DC) Supervisor is also responsible for supervising and providing direction and guidance over a staff of Document Control Technicians.

 

JOB RESPONSIBILITIES

  • Oversee daily functions of the Document Control Department to include day-to-day document and record control operations, policies, and procedures for the secure management and access of company information assets.
  • Maintain project document management system in compliance with standards of quality and timeliness in Document Control.
  • Ensure adherence to include Performance Work Statement (PWS), ISO 9001, ISO 14001, ISO 45001, ISO18788 and PSC1 guidelines for managing and archiving contract documentation during the contract period of performance and during transitions when applicable.
  • Manage and facilitate the document change process (from document creation to archival), collaborating with business process owners to develop and publish documentation to meet business needs.
  • Execute and enforce security protocols for the access, proper maintenance, and distribution of organizational documents.
  • Directly participating in the quality management system implementation, maintenance, improvement, and/or integration, with the primary responsibility being the creator of high-quality written content.
  • Assist with all activities related to the integrated management systems or initiatives including but not limited to policy development, management review sessions, preparation of internal and external audits, training etc.
  • Collaborate with project staff and management, plan and coordinate meetings, and record minutes of meetings.
  • Train subordinates in the principles, policies, and procedures of the document management system.
  • Strong written and oral communication skills (accurate, influential, concise, clear, and targeted to audience) required.
  • Create, edit, and proofread content while maintaining accuracy and comprehensive detail. Ensure all content aligns with the company’s mission, vision, and values.
  • Performs other tasks as specified and assigned by management.

 

JOB QUALIFICATIONS

  • This position demands strong command of spoken and written English language, excellent research and presentation skills, and the ability to tailor writing styles and deliver information to various audiences and objectives.
  • Associate or bachelor’s degree in an administrative discipline or equivalent work experience/ combination in the area of document control.
  • Minimum two years of USG contracting document control experience in a fast-paced office environment and should include not less than one year of supervisory/leadership experience.
  • Experienced in documented management and document management system or management systems software is preferred.
  • ISO 9001 certification preferred.
  • Familiar with ISO standards such as ISO 14001, ISO 45001, ISO 18788 & PSC1 standards
  • Proficient typing, proofreading, and editing skills.
  • Ability to write correspondence for internal and external client communications.
  • Working knowledge in Microsoft office applications (Word, Excel, Outlook, PowerPoint, Teams, Visio) and Adobe Acrobat.
  • Possess a valid HOR (Home of Record) driver’s license.

 

PHYSICAL REQUIREMENTS AND WORK CONDITIONS

  • Must be able to remain in a stationary position no less than 60% of the time (prolonged periods sitting at the workstation).
  • Must be able to frequently lift and/or move light equipment/weight up to 50 pounds without assistance.
  • Have ability to walk on uneven ground, to work in extreme temperatures, and potentially work at heights.
  • Must have high levels of concentration and attention to detail to ensure the accuracy and integrity of documents.
  • As this is a supervisory role, this involves managing workflows, day-to-day decision-making, and personnel management.
  • Regularly conducting self-audits and ensuring all documents meet industry standards and regulatory requirements as this is a fundamental part of a quality system.
