Working Environment 

Jesuit Refugee Service (JRS) is a faith based International NGO that has been working in Iraq for the past eight years. Our mission is to accompany, serve and advocate on behalf of refugees and other forcibly displaced persons. JRS Iraq belongs to JRS Middle East and North Africa Regional Office coordinating the work in Lebanon, Jordan, Syria, and Iraq. In 2023, thirteen people work in the CO and JRS Iraq runs programmes mostly in Qaraqosh, Sharya and Sinuni for an approximate total of 150 staff members. 

General Purpose of the Position 

The data entry clerk supports JRS Sinuni base, first by keeping clear data for each component of the project, MHPSS and Protection, second by participating actively in the reporting by providing and checking reliable data, .third by being a supportive and pro active staff in Sinuni base. 

Works closely with: Project director of Sinuni and Information and Management Officer (IMO) in Country Office (CO). 

Main Responsibilities of the Position 

  1. Data Entry Clerk 

A) Receive and save data from the MHPSS, FV, Legal Assistant, etc. 

B) Prepare data for computer entry by compiling and sorting information, review data for deficiencies. 

C) Maintain data entry requirements by following procedures. 

D) Check the accuracy of data; verify entered data by reviewing, correcting, deleting, or re-entering data. 

E) Maintain confidence by keeping information confidential. 

F) Secure information by completing data base backups. 

G) Maintain accurate and up to date data. 

H) Archive related documents (Filled forms, Empty forms,…) by following the archiving policy. 

2. Reporting: 

A) Prepare and submit accurate data for required reports -monthly reports, quarterly – and update them as required by the Project Director and/or Program Officer; 

B) Follow-up the beneficiaries situation, and report when you notice a change (positive or negative) to the appropriate person; 

C) Collect some stories, pictures that might be insightful for others 

D) Participate to the team weekly meeting 

3. Teamwork

A) Data entry works closely with IMO, maintains good relationship with him/her and share achievements & challenges on a regular basis 

B) Support the staff in collecting accurate data and has an acute knowledge of the challenges of each position  

C) Listen to the PD’s needs for the reporting, shares on a regular basis with the PD the achievements, the challenges and how to respond to them. 

4. Handling Cash book: 

A) The data entry will be handling the cashbook, and he will be the Cashier of the project.  he/she will update the cash book on daily and weekly basis and receive the support from Project Accountant if needed.  

Availability 

Undertakes any other duties as assigned by the Project Director that are within the ambit of the position. 

Qualifications, skills and attributes 

  • Compassion and commitment for refugees and other displaced persons; 
  • Two years clerical experience, including word processing; 
  • Ability to handle confidential information with complete security; 
  • Ability to communicate effectively and help others. 
  • Rigorous and well organized 
  • Excellent administrative skills 
  • Good spoken and written communication skills 
  • Ability to work under pressure and capable of prioritizing tasks 
  • Energetic, hard-working, honest and self-motivated person; 
  • Ability to share the difficulties so that we may be able to share the work better; 
  • Careful and concern about security situation in the area 
  • Proficiency in Microsoft365TM applications Word & Excel (OneDrive, SharePoint, Teams are a bonus), eager to learn how to use database software such as Air Table. 
  • Knowledge of and ability to use English correctly and appropriately is a bonus.
