Job title: HR & Admin Officer
Reporting to: HR Manager – Admin Manager
Salary: Negotiable
Hours: Working Time Based on Company Policy
Location: Vara Company / Erbil
Key responsibilities & duties
- Assist in the recruitment process by posting job openings, screening resumes, scheduling interviews, and coordinating candidate communications.
- Resolves administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions.
- Provides quality customer service for all clients including answering telephone enquiries.
- Coordinates and undertakes booking of travel, catering, events, special functions and meetings as required.
- Maintains administration systems, including diaries, records, mail, filing and archiving of records.
- Coordinates and undertakes purchasing of office supplies, and acts as incurring and certifying officer for purchases.
- Collaborate with the HR Manager to conduct initial interviews and assessments of potential candidates.
- Maintain recruitment records and assist in the preparation of recruitment reports as needed.
- Coordinate new employee onboarding processes, including preparing new hire paperwork, conducting orientation sessions, and assisting with employee setup in HR systems.
- Support the HR Manager in conducting exit interviews and processing employee separations, including coordinating final paperwork and exit procedures.
- Assist in the development, implementation, and communication of HR policies and procedures, ensuring compliance with legal requirements and industry best practices.
- Provide guidance to employees on HR policies and address inquiries or concerns under the direction of the HR Manager.
- Support the HR Manager in updating employee handbooks and other HR-related documentation.
- Serve as a point of contact for employee inquiries and provide support in resolving employee relations issues, escalating complex matters to the HR Manager as needed.
- Assist in conducting investigations into employee complaints, grievances, or disciplinary issues, maintaining confidentiality and impartiality.
- Support the coordination of employee training and development initiatives, including identifying training needs, scheduling training sessions, and tracking attendance.
- Assist in maintaining training records and evaluating the effectiveness of training programs.
- Maintain accurate and up-to-date employee records in HRIS and other systems, ensuring data integrity and confidentiality.
- Assist in payroll processing activities, including timekeeping, payroll adjustments, and benefit administration.
- Support the HR Manager in generating HR reports and analytics for management review and decision-making.
- Assist in ensuring compliance with relevant labor laws, regulations, and company policies.
- Support the HR Manager in preparing and submitting regulatory reports and filings as required.
- Manage schedules and deadlines (for driver & maintenance work)
- Checking company cars (maintenance & other)
- Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints
Work experience & skills
- Bachelor’s degree in Human Resources Management, Business Administration, or a related field.
- English, Arabic and Kurdish required
- Previous experience in an HR administrative role or internship is preferred.
- Knowledge of HR practices, policies, and employment laws.
- Strong problem-solving and organization skills.
- Excellent communication skills with close attention to detail
- Comfortable working independently when needed, or as part of a team
- Strong communication and interpersonal skills, with the ability to maintain confidentiality and professionalism.
